WORKFLOW OPTIMIZATION
VPI can assist you in optimizing your technology purchases to support your infrastructure development. Too often technology is brought in to solve a workflow problem but something goes awry. The synergies or savings expected don’t pan out. The novelty wears off. Users develop work-arounds, go back to old faithful or perhaps the design never really got off the ground in the first place. By employing VPI, you get answers on why the technology is not being used, solutions on how to optimize and a communications strategy to ensure people are “in the know.”
Perhaps it is not the technology itself but a system that no longer servers its original purpose.VPI has the skills to reengineer the system and reinvent the process or system taking the best of what was forward and modifying it for the new reality to optimize work flow.
SERVICES:
Critical Assessment
VPI will assess the situation from the user perspective using primary research techniques -- surveys and in-depth interviews. Asking, at least, 4 magic questions TM as we determine workflow, we get actionable answers on the blocks to the system working well. We critically compare what we have discovered to project objectives and issue recommendations for optimizing the situation.
Technology or Systems Optimization Plan
By including sound change engagement principles, VPI can assist your organization developing a technology or system optimization plan that works. We convene an advisory council with users of different levels so we can see and solve problems as they develop and not at the end of the project.
Design/Build/Train
We create a design blue print based upon the primary interviewing for management’s approval. Once approved, we leverage the skills of our consultants to modify systems and tools -- such as SharePoint – and migrate data. Then we train users using a number of techniques dictated by the learning situation. Large educational webinars, small hands-on webinars, one-on-one walk-throughs, and in-person trouble shooting are just a few ways we educate.
Communications Strategy
As work flow is changed and/or a new technology or system is implemented, communications are crucial. In the absence of correct information, any information will do. Stories will be built based upon hearsay to fill in the information gap. Developing a communicating strategy (for implementation in stages) assists the users in understating the initiative, gaining confidence, and increasing management’s attention to their needs.
